Agency Features (old)

If you have our Agency Module enabled on your account, you can locate the ‘Agency’ area in the top navigation bar of your account once you’ve logged in.

Multiple Sites (Businesses)

Our Agency Module includes the ability to have multiple sites (businesses) within the one account.  This works well for businesses who need a different Payment Gateway for each site created within one Anytime Booking account. Those with multiple sites can assign staff members to one or more sites, but not globally.

The Agency Commission Fee

As an agency, you are likely to be charging a percentage of the booking cost as your earnings.  Anytime Booking allows you to set a commission percentage against the property (Unit) which is calculated when you generate an Owner Statement Report.  This works on the basis that X% of the total holiday is being deducted from the deposit or full payment.

To set the Commission Rate on a property (unit), go to Setup > Configuration > Units > double click on the green bar of the unit on which you’d like to set the commission rate > Option > Agent Fee. 

Excluding AddOns from the Commission Fee 

You can have multiple AddOns for up-selling the holiday, but you can exclude these from the commission charge if you wish. When you create the AddOn, click on the Advance Options and tick the ‘Exclude From Commission’ tick box.

Assign An Owner

To allow an Owner access to your system, the very first thing you’ll need to do is create an Owner Access entry. To do this go to Agency > Owner Access, then click on the New Owner button and give them an Initial, Name, Email Address, Username and Password (they can change their password to something more memorable at a later date).

Once you’ve done this, click on the cog wheel.  First of all, select the unit in the ‘Assign Unit’ dropdown list and click Add.  

Please note that only one owner can be assigned to a unit.

You can also decide what the Owner can see by clicking on the access config.  By default, they will only see bookings in the unit they own. Tick each additional aspect you’d like your owner to see.

How the Owner will access your account

For your owners to access their property information, you will either have a direct link on your website or you can send them your specific owner access URL via email if you would like them to login online.  The URL will look something like this – this is the same login area as you log in to manage your bookings.

Owner Notifications

You can choose to send an Owner Notification email to the owner registered against the property (unit). To learn more on how to send owner notification, click here


Unit Deduction

If you are looking after a property (unit) where you need to make deductions against the owners earnings on a regular basis, you may find the deductions area useful for this.  Go to Agency > Unit Deductions.  Once you’ve selected the appropriate property you can create a series of pre-defined deductions (like grass cuttings, cleaning, misc jobs) with a price.  These pre-defined deductions are a ‘per-item’ price.  You can at any time create an ad hoc deduction whenever you need to.  Every time you create a deduction, just apply the date and this was done and will appear on the reports.


Property Deduction Report 

You can use this report just to itemise all the deductions made over a specific date range and/or properties.  As a default all deductions are inclusive of VAT.

Owner Statement Report 

As an agency, you will want to generate regular Owner Statements.  You can select more than one property (Unit) by holding down the CTRL key and clicking on the unit names. You can also output this report by a web page, PDF or .CSV file.  Before generating this report, there are also two optional tick boxes for calculating the commission charges – the first is calculating just on the base cost only. Leave this un-ticked if you have already told certain AddOns to exclude themselves from the commission calculation.  The second is to break down the entire report to show VAT.
